A payout statement bundles a partner's unpaid approved earnings in one currency up to the end of a period. You generate statements (by hand or with a schedule), review them, approve them and then pay them — through PayPal Payouts or outside the platform.

Generate payouts#

  1. Open Billing → Payouts (/app/billing/payouts) and click Generate payouts.
  2. Choose the Period. The end date must be a day that is already over in the workspace time zone.
  3. Optionally limit to some Partners.
  4. Click Preview. Per partner and currency you see In period, Carried over, Late approvals, Total and the Result:
    • Create payout — a statement will be created.
    • Carry over — "<shortfall> short of the <minimum> minimum": the total is below the partner's minimum payout and rolls into the next run.
    • Nothing due.
  5. Click Create N payouts. Statements are created as pending.

What goes on a statement#

  • Approved conversion payout not yet on a statement, up to the end of the period — one line per offer and event.
  • Earlier earnings that were below the minimum (carried over) and conversions of paid-out periods that were approved later (Late approvals).
  • CPC earnings: billable unique clicks × CPC rate for the period's days.
  • Clawbacks of conversions paid on earlier statements that were later rejected or reduced. See Clawbacks.

When a partner is not paid#

ReasonEffect
Total below the partner's Minimum payout (in the partner's payout currency)Carried over. Minimums in another currency than the statement's are not applied.
The workspace requires a verified tax form and the partner has noneCarried over until the form is verified. See Tax forms.

Review, approve and pay#

Open a statement (/app/billing/payouts/<id>, shown as PO-000123). It lists Statement date, Earnings period, Status, Paid on and Reference, the lines, adjustments and Notes ("Printed on the statement.").

StatusMeaningActions
pendingGenerated; editable.Add/remove adjustments, Approve, Void
approvedReady to pay; adjustments locked. Partner notified "Payout approved".Mark paid, Pay with PayPal (list), Back to pending, Void
paidPaid; partner notified "Payout sent" with method and reference.Mark unpaid (back to approved)
voidCancelled. Earnings are unpaid again and go on the next generated payout.—

Adjustments (pending only): Description (e.g. "Bonus for Q3 volume") and Amount — use a minus sign for a deduction. The referral program adds its commission as adjustment lines too.

Mark paid asks for Method (e.g. paypal, wire), Payment date and an optional Reference ("Transaction or batch ID from your payment provider."). On the list you can mark several statements paid at once with Mark paid….

All transitions are audited (payout.approved, payout.paid, …).

Pay through PayPal#

Select approved statements on the list and choose Pay with PayPal. Partners whose payment method is PayPal are paid to their PayPal e-mail from the connected account; the others are skipped with the reason. Statements stay approved until PayPal confirms each item, then they are marked paid with PayPal's transaction ID as reference, audited, and the partner gets the "Payout sent" notification. A statement whose PayPal payment failed stays approved, shows PayPal's error (in the Provider column and on its page) and can be sent again with Send to PayPal again. Setup and details: Payout providers.

The payouts list#

KPI cards: Pending approval and Approved, unpaid ("Export them as a mass-payment CSV."), per currency. Filters: Status, Partner. Columns: #, Partner, Period, Total, Status, Method, Provider (for example "PayPal · SUCCESS", or the status and error of a failed PayPal payment), Paid and hidden Earnings, Adjustments, Reference, Created.

Bulk actions: Approve, Pay with PayPal, Void, Mark paid… and Export selected.

Exports#

  • Mass-payment CSV (list export or Export selected): payout_id, affiliate_id, affiliate_code, affiliate_name, email, method, details, amount, amount_exact, currency, period_start, period_end, status, reference, paid_at. amount is rounded to cents; amount_exact keeps 4 decimals; details flattens the partner's payment details ("key: value; …").
  • Accounting → QuickBooks Online CSV / Xero CSV as bills. See Accounting export.
  • PDF of a statement from its page.

What partners see#

Partners see their statements under Payouts in the portal, with lines and a printable view. See Partner payments.
