For agencies

A separate workspace for every client

Give each client its own workspace — offers, partners, tracking domain, timezone and currency — and move between them with one login.

Your team gets the access its role allows, and each client can sign in to see its own conversions, reports and invoices.

The challenge

Many clients, no crossed wires

Agencies juggle clients with different deals, domains, currencies and expectations. The problems that come with that — and how TrackCrown keeps them apart.

Client data in one pile

One shared account means one timezone, one currency, and partners or staff who can see across clients they should not.

With TrackCrown: each workspace is separate: its own offers, partners, advertisers, tracking domains, timezone and currency, and every query is limited to it on the server.

Logins scattered everywhere

A different tracker login per client, shared passwords, and nobody sure who changed a payout last Tuesday.

With TrackCrown: one personal login across all the workspaces you belong to, with a role per workspace, optional two-factor sign-in and an audit log in each workspace.

Reports rebuilt by hand

Every week someone exports, re-cuts and re-dates numbers to fit the client's day and currency.

With TrackCrown: reports run in each workspace's own timezone. Saved reports and CSV exports give the same view every time — and clients can sign in to their own.

Tracking on the wrong domain

Clients want tracking links on their own domain, and ad platforms review the tracking domains that appear in ads.

With TrackCrown: each workspace can add its own tracking subdomain, verified by DNS and an ownership TXT record, with HTTPS issued automatically.

Structure

Two ways to organise clients

Pick per client. Separate workspaces keep everything apart; a single workspace suits agencies that run one partner base across several brands.

A workspace per clientFull separation

Each client is its own workspace with nothing shared — the cleanest choice when clients have their own partners, domain or billing.

  • Own offers, advertisers, partners and smart links.
  • Own tracking domain, timezone and currency.
  • Own users, API keys, postback tokens and audit log.
  • Your team switches between clients with one login.

One workspace, clients as advertisersShared partner base

Clients are advertisers inside one workspace — useful when the same partners promote several of your clients' offers.

  • Revenue, payout and margin per client in one report.
  • Partners apply once and request each client's offers.
  • Each client signs in to the advertiser portal for its own numbers.
  • One timezone for report days; currencies stay per offer.

Day to day

Running clients side by side

Open a client, give everyone the right access, report on the client's terms — and decide how the platform presents itself.

Open a client

Set a client up on its own domain

A new client gets a clean workspace and tracking links on a subdomain of its own website.

  1. Open the workspace

Set its timezone and currency — report days, caps and invoices follow them.

  2. Point the client's subdomain

Add a DNS record to the platform and a TXT record that proves the workspace controls the domain; it activates once both check out.

  3. Publish the domain's pages

Each tracking domain answers with an information page, a privacy policy and terms naming the operator, so anyone who inspects a link can see who runs it.

Access

The right access for every person

Roles are set per workspace, so the same colleague can manage one client and only read another's reports.

Owner
Everything an admin can do, plus ownership of the workspace.
Admin
Billing, workspace settings, users, tracking domains, API keys, postback tokens and the audit log.
Manager
Daily operations: offers, advertisers, partners, conversions, smart links, postbacks and Google Ads. Can read billing.
Analyst
Read-only dashboards, reports and logs; can save reports.
Advertiser
The advertiser portal for one advertiser: its offers, conversions, reports, integration and invoices.
Partner
The partner portal for one partner: its offers, links, conversions, postbacks and payouts.
Security & access control
Users of one client workspace: the agency owner, a manager and an analyst, and a client login with the advertiser role that sees only its own conversions and invoices.

Client reporting

Report on the client's terms

Days in the client's timezone, money in the offer's currency, and the same report every week without rebuilding it.

  1. Save the view

Up to three group-by levels and any filters, saved for yourself or shared with the workspace.

  2. Export or connect

CSV export of exactly what is on screen, or an analyst API key for your own dashboards.

  3. Let the client look

Advertiser logins show the client its conversions and costs as they arrive — no weekly export needed.

Reporting
Four saved reports of one client workspace with their grouping and date range; three are shared with the workspace and one is private.

Your brand

How the platform presents itself

Name, logo, colours, legal identity and hostnames belong to a brand. Brands are set up by the platform operator, not inside a workspace.

  1. What a brand carries

Product name, logo and colours on the panel and portals; a website and panel hostname; tracking domains; and the legal entity named on legal pages and tracking-domain pages.

  2. What a workspace controls

Its own name, tracking domains on clients' websites, users and every business setting.

  3. If you want your own brand

Talk to us. A brand is a commitment — your legal entity is what partners, users and ad platforms see.

Setup checklist

Onboard a client in eight steps

Repeat it for each client. Where each step happens in the panel, and the guide that explains it.

  1. Step 1: Choose the structure

A workspace per client for full separation, or one workspace with each client as an advertiser when they share a partner base.

  2. Step 2: Open the first client workspace

    Sign-up

Each workspace starts from the sign-up form and is approved according to the platform's sign-up policy. Set its timezone and currency first.

    Getting started
  3. Step 3: Invite your team

    Settings › Users

Owner, admin, manager or analyst per person. Colleagues who already have a login are added to the workspace without a new password.

  4. Step 4: Turn on two-factor sign-in

    Profile

Every user can enable an authenticator-app code; admins can see who has it.

    Security overview
  5. Step 5: Add the client's tracking domain

    Tracking › Tracking domains

A subdomain on the client's own domain (Growth plan and up), verified by DNS and a TXT ownership record. Certificates are issued automatically.

  6. Step 6: Add the client as an advertiser

    Offers › Advertisers

Billing terms, currency and postback token; then connect its conversions by postback or pixel.

    Postbacks guide
  7. Step 7: Give the client a login

    Settings › Users

Invite the client's contacts with the advertiser role. They see their own conversions, reports and invoices — nothing else.

  8. Step 8: Save the reports you send

    Reporting › Reports

Save the grouping and filters once, share them with the workspace, and export CSV from exactly what is on screen.

FAQ

Questions from agencies

Moving several clients at once? We'll help you plan the order and the domains.

Can one person work across several client workspaces?
Yes. A user can belong to any number of workspaces with a different role in each, and switches between them from the workspace menu in the top bar. Sessions, roles and data stay scoped to the workspace that is selected.
Can clients see each other's data?
No. Every record belongs to one workspace and every query is filtered by it on the server, including API calls. Advertiser and partner logins are further limited to their own advertiser or partner account.
Can we put our own name and logo on the platform?
The name, logo, colours, legal identity and hostnames shown on the panel, the website and tracking domains belong to a brand, and brands are configured by the platform operator — not from inside a workspace. Inside a workspace you control its name, its own tracking domains and its users. Additional brands with their own websites and hostnames are part of the Enterprise plan — if you want to run the platform under your agency's brand, talk to us.
Can clients approve or reject conversions themselves?
If you switch it on in the workspace settings, advertiser users can reject their own conversions with a reason; your team is notified. Approvals and every other change stay with your staff.
Can we bill clients from the platform?
Advertiser invoices are generated per period from approved revenue, with adjustments, a due date from the advertiser's billing terms, and draft, sent, paid and void statuses. They are records for your accounting — payment itself happens outside the platform.
Which plan does an agency need?
Role-based access, two-factor sign-in, the audit log and reports are on every plan. Client logins to the advertiser portal, client tracking domains, invoices and the API start with Growth; additional brands and custom panel hostnames are Enterprise. See the plan comparison, and tell us how many clients you run when you ask for a quote.
How do we pull client numbers into our own dashboards?
Create an analyst API key in each workspace and read the report endpoint, which uses the same engine as the panel. CSV exports work for spreadsheets. See the API reference.
